After a meet-and-greet call to get to know each other and determine the most suitable collaboration style – either a Fixed Price Collaboration or a Retainer Collaboration – we proceed as follows:

We begin with a video call to gather all relevant details, including documents, ideas, budgets, and limits. After a thorough review, we create an initial proposal that outlines our findings and recommendations, including the budget, timeline, schedule, and tailored options. In a follow-up video call, we present the proposal, discuss any necessary adjustments, and revise it accordingly.

This process continues until we’re both confident in the plan and satisfied with the proposal. Once finalized, we formalize it into an official collaboration agreement, followed by a project kick-off. The proposal details are then transferred into our project management system to ensure we stay on track throughout the project.

Our proposal budgets include additional time for feedback, iterations, polishing, and overhead, ensuring a smooth and hassle-free collaboration.

However, based on experience, we know things can evolve, so we add 15% paid and 10% free contingency time to our proposals—totaling 25% extra time. This gives both you and us the flexibility to refine the project with confidence and trust, while providing ample room for us to deliver our best work and expertise, helping you finalize the project for your clients.

Each team member uses their preferred tool, with most working in 3ds Max, Maya, or Blender. For texturing, Adobe Substance Painter and Photoshop are our common tools, ensuring flexibility and a consistent, high-quality output. Depending on the project and its style, we also use ZBrush or 3D Coat for specialized sculpting and detailing.

We use Slack for communication, with two weekly art calls for team alignment. Favro handles task management, and Miro is used for visual collaboration.
